Event AV & production, answered.
The questions planners actually ask — about in-house AV, breakout rooms, speaker and presentation management, recordings, and cost — answered straight, by the team that runs the shows.
In-house vs. outside AV
Can I bring an outside AV company to a hotel or convention center?
Almost always, yes. Most hotels and convention centers allow outside production; some add a modest facility or power fee. We coordinate directly with the venue on load-in, power, and rigging, so bringing in an outside team is routine — not a fight.
Am I required to use the venue’s in-house AV (often Encore)?
Rarely. The in-house provider is the default, not a requirement — Encore’s own SEC filing notes that planners “retain the option to use outside providers.” You can bring an outside production company for your general session, your breakouts, or the whole show.
Is an outside AV company cheaper than the venue’s in-house team?
Frequently. In-house AV is priced per room and per tech with markups, plus a commission paid back to the venue. One outside team covering your general session and breakouts on a single system usually comes in lower — and you see exactly what you’re paying for.
Breakout rooms & multi-room shows
Who handles AV across a lot of breakout rooms?
An outside production company that runs every room on one system. BËTR covers the general session and every breakout from a single setup — fewer techs, cleaner rooms, and no missed cues, with the same senior crew across the whole event.
How do you keep dozens of breakout rooms in sync?
One connected system. Speakers upload decks ahead of time, your team reviews and approves them, and the right slides land on the right screen in every room automatically — then every session is recorded.
Presentations & speaker management
What is a speaker ready room?
An on-site room where presenters check in, review their slides, and get their decks loaded and tested before they go on stage. BËTR runs the speaker ready room with a branded portal, producer review, and a custom Presenter View that follows each speaker to their room.
What is presentation management software?
Software that collects, reviews, and delivers speaker decks across an event. BËTR’s lets speakers upload through a 4-letter-PIN portal, lets your team review and approve on the slide, tracks every version (SlideTrack, patent-pending), and puts the right deck on the right screen automatically.
How do you handle last-minute speaker changes?
Speakers can re-upload from any device up to showtime; SlideTrack keeps your team’s review notes attached to the right slide even when the deck is reordered or reworked, so a late change never means starting the review over.
Recordings, cost & planning
Can every session be recorded automatically?
Yes. BËTR captures every session automatically as part of running the room — organized and back to your speakers fast, with no separate add-on to remember.
How much does conference AV cost?
It depends on your venue, room count, and run-of-show — but it shouldn’t be a mystery. BËTR builds a transparent Show Plan you can read line-for-line and hold up against an in-house quote, instead of marked-up per-room house rates.
What is a Show Plan?
A clear, itemized plan for your event: what we’re providing, where it goes, who’s responsible, and what it costs — built around your run-of-show so you can compare it line-for-line to any other quote.
